Files and storage
You can attach files to three kinds of record, so paperwork lives with whatever it belongs to:
- Appointments — consultation notes, consent forms, before-and-after photos
- Customers — patch-test results, signed forms, anything you need on file for that person
- Team members — contracts, certifications, right-to-work documents
Open the record and use the Files section to upload, download or delete.
Who can see a file
Section titled “Who can see a file”Access follows the record it’s attached to, using the same permissions you already set for your team:
| Files on | Who can see them |
|---|---|
| An appointment | Anyone with the appointments permission, for branches they work at |
| A customer | Anyone with the customers permission |
| A team member | Anyone with the stylist permission |
There’s one deliberate exception: a stylist can open files on their own appointments even without the appointments permission, so they can read the consent form for the visit they’re about to do. They can’t upload or delete, and they can’t see anyone else’s appointments.
Files are never public. Even if someone had the link, it won’t open without signing in — so a customer’s documents can’t be shared by accident.
What you can upload
Section titled “What you can upload”PDFs, images (PNG, JPG, GIF, WebP, HEIC), Word and Excel and PowerPoint files, and plain text or CSV.
Each file can be up to 10 MB. There’s no limit on how many files you attach — only your plan’s total storage applies.
Files are stored exactly as you upload them, so a signed PDF downloads back byte-for-byte identical.
Your storage
Section titled “Your storage”Go to Settings → Subscription → File storage to see how much you’re using.
What counts: files you attach, invoice PDFs, profile pictures, package images and category icons. What doesn’t: your logo, favicon and share images — branding is on us.
If you run out
Section titled “If you run out”New uploads are blocked until you free up space or add more. Everything else keeps working, and invoices are still created as normal — running out of storage never stops you invoicing a customer.
To free up space, delete files you no longer need from the records they’re attached to.
Adding more storage
Section titled “Adding more storage”- Go to Settings → Subscription.
- In File storage, choose Add storage.
- Pick how many blocks you want, and confirm.
Extra storage is billed monthly, as its own subscription, separate from your plan. You can change the amount or cancel it at any time without touching your plan — and changing your plan doesn’t disturb it either.
You can’t reduce your extra storage below what your files currently need. Delete some files first, then lower it.
