Appointment statuses
Every appointment carries a status that says where it is in its lifecycle. Statuses drive what you can do next (take a payment, mark a no-show, refund a deposit) and what the customer sees.
Built-in statuses
Section titled “Built-in statuses”| Status | What it means |
|---|---|
| Pending Deposit | The booking is held but not confirmed — it’s waiting on a deposit payment. If the deposit is never paid within the payment window, the hold is released and nothing is charged. |
| Booked | Confirmed. Any deposit, loyalty points, or package use is committed at this point — never before. This is the normal “on the calendar” state. |
| In Progress | The appointment is happening now. Walk-ins start here. |
| Completed | The service was delivered. Loyalty points are earned against completed work. |
| Cancelled | The appointment was cancelled. Whether a deposit is refunded depends on your refund ladder. |
The No Show flag
Section titled “The No Show flag”No Show is a flag, not a status — an appointment can be marked No Show (and un-marked with Undo No Show) independently of its status. This lets you keep the appointment’s history while recording that the customer didn’t arrive, which your no-show policy can act on.
Custom statuses
Section titled “Custom statuses”You can add your own statuses on top of the built-in set to match how your business tracks work. Custom statuses are for your own workflow and don’t change the money rules above.
See Calendar and appointments for how to move an appointment between statuses.
