Tags and statuses

Settings → Tags owns every colored label in your admin portal: the tags you attach to customers, the statuses you can put on an appointment, and the colors both of those are drawn in. It’s one screen with four sections, because they’re all the same thing — a label with a color — used in different places.

None of this is customer-facing. Tags and statuses are for your team; customers never see them on your booking site or in their portal.

Tags are labels you attach to customer records — VIP, new client, colour correction, whatever your business sorts people by. They’re the only section here that starts empty: you create the ones you want.

To add one, go to the Customer Tags section and select New Tag. Give it a name, pick a background and text color, and save. The preview shows exactly how it will look before you commit.

Leave the text color on Auto unless you have a reason not to: auto picks black or white for you, always readable on the background you chose. If you switch to Custom and land on a combination that’s hard to read, the editor tells you underneath the preview — it won’t stop you saving it, so the choice stays yours.

Once a tag exists it’s offered wherever customers are edited:

  • On a customer’s record under Customer info, select a tag to toggle it on or off.
  • When creating or editing a customer, in the Tags field.
  • On the customer list, Filter by Tags narrows the list to people carrying the tags you pick.
  • When sending a marketing email, you can narrow the audience by tag.

That last one is the reason to be deliberate about tags: a tag is what turns “my regulars” into an audience you can actually message.

Retiring a tag. Edit it and clear Active — it stays on the customers who already have it, and on the filters, but it’s no longer offered when tagging someone new. Deleting removes it everywhere, including from customers who carry it, and can’t be undone. Deactivate when you’ve stopped using a tag; delete when it was a mistake.

Appointments already move through statuses JustBook manages itself — booked, completed, cancelled, no-show and the rest. Those are the appointment statuses, the app sets them, and you can’t add to or remove from that set. What you can do here is change their colors, and add statuses of your own alongside them.

Custom statuses are for the things your salon tracks that the app has no opinion about — “needs patch test”, “deposit chased”, “regular”. Select New Status in the Appointment Statuses section, name it, and give it colors.

System statuses are marked as such and only their colors are editable — renaming “Completed” would break what the word means everywhere else in your portal, including your reports. The No Show marker sits with them and its color is editable the same way.

The Payment Statuses section is colors only. These are the deposit and balance states shown across appointments and invoices — the app owns which ones exist and when they apply, so there’s nothing to create here. Change the colors so “unpaid” reads at a glance on a busy calendar.

The last section, Status Colors, sets the shared palette behind the generic pills all over your portal: active and inactive, enabled, connected, failed, and so on. There are five — positive, negative, warning, neutral, and info — and every generic pill in the portal draws from them.

Change one and it changes everywhere at once, which is the point: your “connected” green is the same green on every page. Each has a default you can restore if you go too far.

This is the one section here where the change is broad rather than local. If a specific status looks wrong, edit that status; edit these five only when you want the whole portal’s tone to shift.

Every tag and status has a background color and a text color, and you pick both. The preview is there to be used — a pale tag with white text is invisible in exactly the moment you need it, and nothing else in the app will correct it for you. Your brand palette doesn’t govern these; they’re set here, individually, on purpose.

Editing tags and statuses needs the settings permission. Anyone who can open a customer record can apply an existing tag without it.
