Import your clients

Switching from another system? You don’t need to re-type your client list. Export it from your current tool as a CSV or Excel file, then import it under Customers → Import — names, phone numbers, emails, notes, tags and marketing consent all come across.

Coming from somewhere else? Any CSV or Excel file with one client per row works — the import doesn’t care which system produced it.

  1. Open Customers and choose Import.
  2. Upload your file.csv and .xlsx both work, up to 10 MB and 10,000 clients per file. (Bigger list? Split it and import in parts.)
  3. Match your columns. We read your file’s headings and match what we can automatically — for example “Mobile number” becomes Phone, and “Memo” becomes Notes. Check each column and adjust anything we got wrong. Columns set to Ignore are left out, or tick Add ignored columns into the customer’s notes to keep things like birthdays or addresses as text on the customer’s record.
  4. Optionally pick a tag to apply to every imported customer (for example “Imported 2026”) — handy for finding them later.
  5. Choose Import. Progress is shown as it runs, and at the end you’ll see exactly what happened.
  • Imported — new customer records created.
  • Already in JustBook — rows that matched an existing customer by phone number or email. These are skipped and the existing record is never changed — importing can’t overwrite anything. A phone number or an email address belongs to exactly one client, so if two rows in your file share a number, only the first becomes a client; give family members their own contact details before importing if they each need an account.
  • Couldn’t import — rows we had to skip, each with a reason (usually a missing name, or no usable phone/email). Download the failed rows as a CSV, fix them, and import just that file again — already-imported rows are recognised and skipped, so re-importing never creates duplicates.
  • Phone numbers are cleaned up on the way in. Local numbers are interpreted using your business’s country, so “050 123 4567” and “+971 50 123 4567” are understood as the same number.
  • Marketing consent is handled conservatively. A customer is only marked as opted in to marketing if your file explicitly says so (“yes”, “subscribed”, …). Blank or unclear values mean opted out — importing will never sign anyone up by accident.
  • Duplicates within your file are also detected — if the same person appears twice, they’re created once.
  • Saved card details can never be transferred from any booking system, ours included. Card networks’ security rules (PCI) prohibit exporting stored cards — this is universal, not a JustBook limitation. Your clients simply enter their card again the first time they book or pay with you.
  • Appointment history from your old system can’t be imported — records start fresh from your first JustBook booking.
